Job Description
We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support daily office operations in our Beijing office. The ideal candidate will be fluent in Mandarin and English, possess strong communication and coordination skills, and have experience in managing administrative tasks in a professional setting.
Requirements & Qualifications
- • ?️ Office Administration
- • Manage front desk reception (if required), including greeting guests and handling incoming calls
- • Organize and maintain office filing systems (digital and paper)
- • Order and manage office supplies and inventory
- • Liaise with property management and external vendors (cleaning, courier, maintenance, etc.)
- • ? Scheduling & Coordination
- • Manage calendars and meeting arrangements for managers/team leads
- • Organize internal and external meetings, including logistics, agendas, and meeting minutes
- • Book travel and accommodations for staff and visitors
- • Assist in event planning (team-building, training sessions, company events)
- • ? HR & Finance Support (Optional)
- • Assist with onboarding new hires (document collection, orientation, equipment setup)
- • Support monthly expense reports and invoice processing
- • Handle employee attendance and leave records
- • ? Communication & Documentation
- • Draft and translate internal documents (English <-> Mandarin)
- • Handle email correspondence and communications with partners/vendors
- • Prepare reports, presentations, and meeting summaries
Requirements
- • �� Qualifications
- • Bachelor’s degree in business administration, Management, Communications, or related field
- • –3 years of experience in a similar administrative role (fresh graduates with internships will be considered)
- • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- • �� Language
- • Fluent in Mandarin (spoken and written)
- • Proficient in English, especially business writing and communication

- • Attention to detail and a high level of professionalism

Salary & Compensation
